Equipping a Coffee Shop: Equipment List and Budget Planning
The core equipment a coffee shop needs, how to choose it, and the extras that quietly inflate the budget.
23 September 2026 · HospiSourcing

To equip a coffee shop you need a core set: an espresso machine, one or more grinders, refrigeration, water treatment, a brewing method, and service equipment. The machine matters most, but capacity should match your expected daily covers — buying by brand or reputation alone often leads to overspending.
The core equipment list
- Espresso machine, sized by groups and daily volume
- Coffee grinders, including a dedicated grinder per coffee type
- Water treatment and filtration
- Under-counter refrigeration and milk storage
- Batch brewer or filter method for non-espresso drinks
- Display case for pastries and food
- Blenders and preparation equipment
- Cups, glassware and service items
Choose capacity before brand
Match the machine to peak-hour volume, not to the busiest café you have seen. A one-group machine can serve a small café comfortably, while a busy site with a drive for takeaway needs more groups and faster recovery.
Ask about recovery time: how quickly the machine returns to temperature and pressure between drinks.
Do not skip water treatment
Water quality affects both taste and machine life. Hard water scales boilers and shortens equipment life, and it is often excluded from machine warranties if treatment is not fitted.
Treat filtration as part of the machine specification rather than an optional extra.
Budget for the forgotten costs
- Installation, plumbing and electrical work
- Water treatment and connection
- Staff training and initial setup
- Service contract and spare parts
- Smallwares, storage and consumables
